Roles Explained

Approvers

  • Can formally approve or reject SOW versions
  • Have full read access to all content
  • Receive notifications for version changes requiring approval
  • Can leave comments and feedback
  • Critical for formal sign-off processes

Followers

  • Have read-only access to the SOW
  • Receive notifications about changes and updates
  • Can view all task items, criteria, and tests
  • Can leave comments for discussion
  • Perfect for stakeholders who need visibility but not approval authority

What Happens After Adding Team Members

Once team members are added, they will:

  1. Receive Email Invitations - Automated emails with instructions to access the project
  2. Get Real-time Notifications - Updates when:
    • New task items are added
    • Criteria are modified
    • Tests are created or updated
    • Versions are published
    • Comments are added
  3. Access the SOW Dashboard - View current status and progress
  4. Participate in Discussions - Comment on specific items for clarification

Best Practices

  • Add Early: Involve stakeholders from the beginning for better alignment
  • Right Roles: Use approvers sparingly - only for those with formal sign-off authority
  • Clear Communication: Let team members know their role and expectations
  • Regular Updates: The system automatically notifies on changes, keeping everyone informed
